The following charges will be incurred by the booking department should your meeting cancel within 24 business hours of the scheduled meeting or no show the day of the meeting.
Charges are per room reserved. For example, if you have three conference rooms reserved and you cancel them the morning before your reservation, you will be charged $150 for the late cancelation.
Canceled within 24 business hours: $50 fee per room
No show/same day cancelation: $100 fee per room

The Nicholson Conference Center's business hours are Monday-Friday, 8 am-5 pm, with the exclusion of holidays/maintenance days. Any meetings held outside of that timeframe will incur an after-hours fee of $55 per hour. All meetings scheduled 8 am-5 pm will receive a 15 minute set-up time before your meeting. If you wish to arrive earlier than 15 minutes before your scheduled meeting, that will be included in your charge.
For example, if your meeting is from 7 am-9 pm, but you wish to arrive at 6:30 am for set-up, you would be charged from 6:30 am-8 am.
Total charge: $82.50
If your meeting is from 4:30 pm-6 pm, you would be charged from 5 pm-6 pm.
Total charge: $55.

The Nicholson Conference Center charges facility fees for all events held in the conference center on Saturdays. We will remain closed on Sundays.
Please see below for a breakdown of the facility fees associated with your event.
Facility Fees:
Event fee: $55 per hour the Conference Center needs to be open for your event.
For example, if your meeting is from 7 am-4 pm, but you need to arrive at 6 am and clean up until 5 pm, you would be charged
from 6 am-5 pm.
Cleaning fee: Additional $100 cleaning fee per event
If your Saturday event is canceled within 10 business days of the scheduled event, all associated fees still apply.
Hosts that wish to serve wine/beer must adhere to the following guidelines:
Must be served after 4:30 pm Monday-Friday. Saturdays after 10 am.
Must be served by a licensed bartender.
Company serving the alcohol must have $1,000,000 in liquor liability insurance.
OUHSC Security must be hired for every event with alcohol served at the cost to the department. The department must coordinate directly with the OUHSC Police Department and forward the confirmation to Tadra Moone at Tadra-Moone@uhat.org.
Director of Conference Services must receive proof of licensure, insurance, and that security has been hired no less than 2 weeks prior to the event.
